We require a minimum guaranteed attendance of 100 guests, as well as a minimum expenditure in food and beverage of $5,000.00 for the Galleria Ballroom, and $6,000.00 for half the Grand Ballroom.  For events larger than 100 guests, the minimum will increase proportionately.  The minimum expenditure is net food and beverage revenue, meaning that it excludes tax, gratuity, service charges and any other miscellaneous charges.

Grand Ballroom

The Grand Ballroom lives up to its name in every way.  The rich, dark wood, the sixteen-foot ceilings and formal wall coverings is best suited for up to 800 guests in its 10,080 square feet.  A private porte cochere entrance welcomes you into a formal atrium area – a perfect setting for a celebratory reception hour, expansive buffet, or bar service.

One half the Grand is suitable for up to 250 guests, and requires a minimum expenditure of $6,000.00.

 Galleria Ballroom

The Galleria Ballroom, warm and inviting, is perfect for up to 250 guests with over 4,200 square feet.  Adjacent is the Gallery Foyer, displaying lush greenery and lighted ficus trees in addition to the exquisite, custom-designed décor  The Galleria Ballroom requires a minimum expenditure of $5,000.00.

Catering Policies

All arrangements are tentative and subject to change until the Hotel issues a contract, to be signed and fully executed by both parties.  The arrangements are subject to cancellation without notice if the signed contract, credit card authorization, and deposit, as requested in the contract, are not received by the close of business on the date given in the contract. The contract becomes definite and binding upon the signature of both parties.  The contract (and any additional pages attached thereto) constitutes the entire agreement between the parties and may not be amended or changed unless executed in writing and signed by the Sheraton Grand Hotel and the group’s authorized representative.

Deposits and Payment Arrangements:  We require an initial deposit of 25% of the estimated total to be returned with the contract.  A second deposit of 25% is due 90 days in advance of the function.  All deposits are nonrefundable in the event of cancellation or postponement.  In addition, we must have on file a Credit Card Authorization Form (which is part of the contract) from the financially responsible party.  Payment of the remainder is due three (3) business days in advance of the function, with the final guarantee of the number of guests attending.  If the actual expenses exceed the total of the deposits plus the pre-payment, the overage will be charged to the credit card unless other arrangements are made in advance.

  Minimum Expenditure: We require a minimum expenditure, which your Catering Manager will discuss with you, on food, beverage and meeting room rental, based on the attendance and hence the amount of function space needed to produce the event.  This minimum expenditure is “net,” and does not include gratuities, service charges, taxes, labor charges, audio-visual or any other miscellaneous charges incurred.  If the attendance increases above the stated number of guests, the minimum expenditure will increase accordingly.  This minimum expenditure is not subject to reduction even if the number of people attending the event is less than that contractually agreed upon.  Should this minimum expenditure not be met, the difference will be included in your final payment as meeting room rental. 

  Function Guarantee: The guaranteed attendance number must be submitted to the Hotel three business days (72 hours) in advance of the event(s).  For a Saturday event, this guarantee is due by 12 Noon of the Wednesday prior.  It is the responsibility of the client to provide the guaranteed number.  If the guarantee is not provided by the deadline, the maximum original expected number will be considered your guarantee and will be charged accordingly.  If the number attending exceeds the guarantee, you will be charged for the actual attendance.

Food and Beverage Policies: No food or beverages may be brought into the Hotel from an outside source.  Food and beverage prices are not guaranteed more than six (6) months in advance of the event.

Tax, Gratuity, and Service Charges: Please add 18% taxable service charge (gratuity) and 8.25% sales tax to all food and non-alcoholic beverages. Add 18% taxable service charge to alcoholic beverages.  Service charges such as bartender/cashier fees, carver and chef fees, are taxable at 8.25%.  Add 6% tax to meeting room rental.  Breakfasts and luncheons of less than 15 guests incur a surcharge of $35.00; dinners of less than 20 guests incur a surcharge of $35.00. 

Function Hours:  Function rooms are reserved for your use only between the hours listed on the contract.  If you will need access to the room more than 30 minutes prior to the start time (for bakery or floral deliveries, entertainment set-up, etc.), contact your Catering Manager; if the space is available, additional rental fees may apply.  Events continuing past the designated ending time will incur a service fee of $250.00 per hour or portion thereof.

Banquet Room Set-up: The prices indicated in this contract and related materials include typical banquet room set-up.  Groups requiring excessive or unusual set-up will incur a $250.00 labor fee in addition to rental or other charges.  Changes made to the function room set-up after the room has been set per the contract and/or Banquet Event Order, will also result in additional labor fees.  At the end of the function, the client is expected to remove all material and decorations brought into the room.  Groups leaving materials or decorations in the room will incur a $250.00 labor fee for clean up.

  Audio-Visual: A wide range of audio-visual equipment and services are available through our in-house supplier.  An experienced technician is available to assist you with your needs.  Charges for audio-visual equipment are separate from hotel event charges.

  Alcoholic Beverages: As the host of a private party, you acknowledge your responsibility for the consumption of alcoholic beverages at this event.  The Sheraton Grand Hotel will exercise due care in serving alcoholic beverages, and will refuse service to any person appearing to be under the age of 21 or any person who appears to be intoxicated.  We will request identification and proof of age from any person who appears to be under 21 years of age, and we will remove any alcoholic beverages believed consumed by a minor or an intoxicated person.  We require that all alcoholic beverages served in the public areas of the hotel; (including function rooms) be provided by the Hotel and dispensed by its staff, in accordance with the laws and regulations of the Texas Alcoholic Beverage commission.  You agree to full cooperation and/or assistance to the Hotel in enforcing the laws of the State of Texas and the policies of the Sheraton Grand Hotel.

  Room Assignments: Meeting/banquet rooms are assigned on the basis of expected attendance, and are subject to change pending the final guarantee.

Cancellation Policy: In the unlikely event this function should cancel, you will pay the Sheraton Grand Hotel a liquidated damages fee (not to be construed as a penalty) which shall consist of a percentage of the guaranteed minimum revenue.  The amount of liquidated damages is based on a sliding scale dependent upon how much advance notice is provided the Hotel, and will be specified in the contract.

  Responsibility and Security: The Hotel does not accept any responsibility for damage to or loss of any articles or property left in the Hotel prior to, during or after the event.  The client agrees to be responsible for any damage done to the function room or any other part of the Hotel by the client, his guests, invitees, employees, independent contractors or other agents under the client’s control.  Please make arrangements for all your personal property, including the wedding cakes, gifts, floral arrangements, guest book, etc., to be removed from the function room immediately following the reception.  (The wedding cakes will be placed in boxes supplied by the bakers; cake platforms, pillars and any other items to be returned to the bakery will be turned over to the client at the same time.)

Guest Rooms:  We are happy to offer specially reduced guest room rates for your attendees.  Most wedding planners ask the individuals to contact the hotel directly to make their room reservations.  It is imperative that they identify themselves by your “group name” as stated on the contract to receive the preferred rate(s).  Please pay special attention to this name as well as our cutoff procedures and date to avoid any misunderstanding between you, your guests and the hotel.

We will accept all reservations received at the hotel by the cut-off date given on the contract until your block is filled.  Unless special arrangements are made through your Catering Manager, reservations received after the cut-off date or after the block is filled will be accepted at the special group rate based on availability.

  Check-in time is 3:00 p.m. and check-out time is 12:00 noon.  All guestroom reservations not guaranteed will automatically be cancelled at 4:00 p.m.  Guaranteed rooms will be charged regardless of whether the room was occupied or not.  However, a guaranteed reservation may be canceled before 6:00 p.m., CST, the same day of arrival.  Cancellation number(s) must be kept for verification.  A guestroom may be guaranteed by an individual with a valid credit card, or by a cash deposit in the amount of the first night’s guestroom rate.  This advance deposit will be credited to the individual’s first night room charges and is fully refundable when cancelled up to 24 hours prior to arrival.

  A “block” of guest rooms does not mean that the reserved rooms are all physically located together; guests are assigned to rooms according to what is available at time of check-in.  If guests request special arrangements for connecting, adjoining or close-by rooms, we will make every effort to honor this request but cannot guarantee it.

  Disclosure of Service Charges:  When the services or products of an outside vendor are engaged and the resulting charges are added to the client’s master account, the Sheraton Grand Hotel reserves the right to mark up such services and products a minimum of 15% to cover handling and administrative expenses.

  Attorneys’ Fees:  In the event of a dispute under the contract and any legal action is required to enforce the obligations of the client, the Sheraton Grand Hotel, in any such dispute, shall be entitled to recover from the client all costs, including attorneys’ fees reasonably incurred.
